Welcome to LabelGlow (“we,” “us,” or “our”). We are committed to protecting your privacy and handling your data in an open and transparent manner. This Privacy Policy explains how we collect, use, and safeguard your information when you use our services, including our hosted solution (“LabelGlow Cloud”) and our WordPress plugin (“LabelGlow for WordPress”), collectively referred to as the “Service.”

This policy is designed to help you understand what data we collect, why we collect it, and what we do with it. By using our Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the minimal amount of information necessary to provide and improve our Service.

  • Account Information: When you sign up for LabelGlow Cloud or purchase a license for the WordPress plugin, we may collect basic information such as your name, email address, and payment details. This information is used for billing, account management, and communication.

  • Google User Data (via Google APIs): To perform its core function, our Service requires access to specific data from your Google Account. This is done exclusively through the official Google People API, and only after you explicitly grant permission via Google’s secure OAuth 2.0 consent screen.

3. Use of Google User Data (Limited Use Disclosure)

LabelGlow’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Our handling of Google user data is central to our Service and is explained in detail below.

  • APIs We Use: We use the Google People API.

  • Data We Access: After an end-user grants authorization, we access the following data from their Google Account:

    • User’s Google Contacts: Including name, email address, phone number, and contact group/label memberships.

    • User’s Primary Email Address (…/auth/userinfo.email scope): We use this to uniquely identify the user’s account and associate it with their authorization token in our system.

  • Why We Access This Data:

    LabelGlow accesses this data to perform its core function: syncing a master contact list (from a CSV or Google Sheet) to the user’s Google Contacts. We require permission to create, read, update, and delete contacts that are specifically managed by our application. This enables organizations to maintain a synchronized, up-to-date contact list across all authorized team members’ devices.

  • How We Handle This Data:

    We do not store, sell, or share any of the user’s Google Contact data (names, emails, phone numbers) on our servers. The contact data is only processed in real-time during the sync operation. Once the sync is complete, the data is discarded.

  • Authorization Token Storage:

    To perform syncs on a user’s behalf without requiring them to log in each time, we securely store the authorization token (specifically, the refresh token) provided by Google. This token is encrypted and stored in your WordPress database (for the plugin) or our secure database (for the Cloud service), linked directly to the authorized user’s account.

4. Data Security

We take the security of your information seriously and use industry-standard measures to protect it. This includes:

  • Using encrypted connections (HTTPS/SSL) for all data transfers.

  • Securely storing sensitive information like API keys and authorization tokens.

  • Limiting data access to the absolute minimum required to perform the Service’s functions.

5. Data Sharing

We do not sell, trade, or otherwise transfer your personally identifiable information or your Google user data to outside parties. This does not include trusted third parties who assist us in operating our Service (such as payment processors), so long as those parties agree to keep this information confidential.

6. Your Rights and Choices

You have full control over the data you share with LabelGlow and the right to request its deletion.

  • Revoking Google Access: You can revoke LabelGlow’s access to your Google Account at any time by visiting your Google Account’s security settings page: https://myaccount.google.com/permissions. Revoking access will immediately stop all future sync operations for your account but will not delete the authorization token from our system.

  • Data Deletion (LabelGlow for WordPress): If you are using our self-hosted WordPress plugin, you are in full control of your data. The site administrator can delete any user’s authorization token directly from the LabelGlow dashboard within the WordPress admin area at any time.

  • Data Deletion (LabelGlow Cloud): If you are a user of our hosted LabelGlow Cloud service, you have the right to request the deletion of your account and associated data, including your stored Google authorization token. To initiate this process, please send a deletion request to our support team at [Your Support Email Address]. We will process all deletion requests and permanently remove your account information and authorization token from our systems within a reasonable time frame, not to exceed 30 days from the date of your request.

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date. You are advised to review this Privacy Policy periodically for any changes.
